Terms & Conditions

Our Terms & Conditions define the terms under which tickets are sold. In order to purchase a ticket, it is important that you first read and understand these Terms & Conditions – you need to agree to and comply with these terms in order to buy tickets.

On completing a booking, you hereby agree to these Terms & Conditions.

We may make changes to these Terms & Conditions in response to the latest legal and regulatory frameworks. If changes are made, we will give you notice by emailing you and posting the updated terms to our website.

Nothing in these Terms and Conditions seeks to exclude or limit your legal rights as a consumer. For more details of your legal rights, please refer to your local Citizens Advice Bureau or Trading Standards Office.

By purchasing a ticket or any other service listed on this page, you agree to abide by the full terms & conditions of Cedarwood Festival.

Tickets & ID

• If you have purchased a student ticket, please bring a form of university or student ID with you to the event and present to the ticketing team upon arrival in order to validate your student ticket.

  We accept a valid PIP, DLA, Blue Badge, ESA or a supporting medical document confirming your restriction of mobility. Please bring this with you to the event and present to the ticketing team upon arrival in order to validate your Carer’s ticket.

• Tickets are transferable like for like, up to 2 weeks prior to the event. Names must be passed to Cedarwood Festival administration and confirmed via email.
• A valid ticket must be produced to get into the event.
• Your wristband and your ticket must both be kept safe and remain with you at all times when on the event site. There will be no admission into the event without a valid, un-tampered wristband.
• The event reserves the right to amend/alter any advertised attractions at the event. This includes the line-up, set times, traders, merchandise, promotional material and any other area deemed necessary by the event. If this happens then the event is not obliged to refund your money or exchange tickets.
• Please note that for those on benefits, we will require proof of an existing claim. Once your request has been received, we will review and respond within 14 days. All requests will be reviewed on a case by case basis.

Refunds policy

• If the Festival is cancelled, the value of the ticket will be refunded, excluding the booking fee.

• All tickets are non-refundable, including any deposit or part payment and add-ons.
• We strongly recommend you take out travel insurance to claim back any funds if you are not able to make the festival for any reason.
• In the event of event cancellation we will notify ticket holders via our website and email. We request all ticket holders to take responsibility for confirming the event is happening as scheduled without change before arriving at the site.
• We are unable to offer refunds in the event of changes to the programme or speakers.
• If you cannot attend the Festival, know that ticket names can be allocated and or transferred to another name up to 72 hours before the festival, on 10.07.26
• If, having paid your full Cedarwood Festival ticket fee, you or any of your party are unable to attend it is recommended that a claim against any travel insurance.

Camping

• We encourage everyone to stay onsite and enjoy the full weekend. Tickets include free camping but an additional fee is placed at £10 for caravans and camper-vans.

• We ask all delegates to use the provided rubbish and recycling areas to dispose of all rubbish.
• If you are asked to make adjustments to your pitch or your site by a team leader or staff member, you must comply with their request.
• Noise must be kept a minimum on site from the hours of 22:00 – 06:00 out of respect for other delegates and the local community.
• Cedarwood Festival accepts no responsibility for damage or loss to delegates’ property.
• Please note that strictly no disposable BBQs or rogue bonfires are allowed on the site for the duration of the event. Proper BBQs with legs and covers (suspended off the ground) are permitted.
• Cedarwood Festival asks all delegates to exercise caution when using camping stoves to limit the risk of fires.
• We kindly ask delegates where able to bring metal or plastic reusable containers for drinking or coffee to reduce waste.

Under 18s

• All people under the age of 18 must be accompanied by a responsible adult (18 or over) who is solely responsible for them for their duration on the Cedarwood Festival site.
•  The ratio of parent/guardians to a young person is 1:4. This is at the discretion of the event security.

Prayer & Ministry

• Cedarwood Festival has a fully trained prayer and ministry team.
• We ask delegates to weigh prayer and prophecy they receive and to understand they are fully responsible for how they choose to apply it to their lives.

Privacy

• Cedarwood Festival fully respects delegate privacy and all personal data is dealt with in accordance to the Data Protection Act 2018.
• During the event official filming will be taking place and photographs taken may include individuals or groups. These will be used solely by Cedarwood Festival for marketing and advertising and may appear on the website, on social media channels or other promotional literature. If you do not wish your image to be used by Cedarwood Festival, please make us aware at the entrance when you arrive on site.
• All contractors part of our event are data processors of Cedarwood Festival Ltd who are the data controller. All data provided to contractors
  will be passed to Cedarwood Festival Ltd.
• Our medical team are also contractors. You agree that all medical records including identifiable data can be shared by them to Cedarwood Festival Ltd

Liability

• Cedarwood Festival reserves the right to remove delegates from the event if they are found to be breaking the law, abusing staff or volunteers or behaving in a socially unacceptable way to other delegates.

• The event cannot be held responsible if any of your personal property is lost, damaged or stolen whilst at the event.

Drugs and Alcohol Policy

Misuse of drugs and alcohol will not be tolerated onsite and will be dealt with by security and the police.

Cedarwood Festival allows dogs and the use of service animals onsite. We ask all Guide dog and dog owners to ensure full control of their animals and that they are on a lead at all times.

Filming

• We ask that delegates do not use professional video recording equipment at Cedarwood Festival unless authorised by Cedarwood Festival staff.
• Purchasing a ticket for Cedarwood Festival affirms you consent to the filming and sound recording of yourself as a member of the audience unless otherwise stated.
• During the event official filming will be taking place and photographs taken may include individuals or groups. These will be used solely by Cedarwood Festival for marketing and advertising and may appear on the website, on social media channels or other promotional literature. If you do not wish your image to be used by Cedarwood Festival, please make us aware either on your booking form or when you arrive on site.

Unauthorised Trading

Unauthorised trading, advertising, or leafleting, anywhere on the Cedarwood Festival site is strictly forbidden.

Data Protection

All personal data and information that we collect will be used in accordance with the provisions under the Data Protection Act 2018 and your rights under that Act.

We may use your personal information in order to provide our goods and services to you, process your ticket purchase, inform and update you with information relevant to the event you are attending and information pertaining to future Cedarwood Festival events. You may request to opt out and stop any further communications at any time.

Safeguarding

Cedarwood Festival takes safeguarding very seriously. Throughout the year, and during the festival in July, anyone can contact our safeguarding team if they have any concerns, by emailing safeguarding@cedarwoodfestival.com.  During the festival a dedicated number is shared with all delegates and team for easy access to share concerns as soon as possible. All teams undergo regular safeguarding briefings to ensure all align, fit within, aware of and follow our protocols.

Legal

Cedarwood Festival Limited is a registered Charity in England & Wales. Charity Number: 518744.  The event is organised by a core team and delivered by volunteers from across the UK.
